A firm that misses calls is not choosing between two marketing strategies — it is choosing between two ways of catching the same lead.
Disclosure: we build an AI intake product and we also sell done-for-you intake services. We have tried to write this so that the case for an answering service is stated as clearly as the case against it.
What each one actually is
Legal answering service
A human answers your phone, usually at a call centre, working from a script you approve. They take a message, often complete an intake form, and route it to you. Coverage is by shift; quality is by training.
AI intake
Software engages the enquiry — by chat, form or voice — asks qualifying questions, books a consultation into your calendar and writes the record to your CRM. It runs continuously and does not improve or degrade with shift patterns.
How each one charges
| Answering service | AI intake | |
|---|---|---|
| Pricing unit | Per call or per minute, plus setup | Fixed monthly subscription, tiered by volume |
| Cost behaviour at low volume | Low — you pay for what you use | Fixed — you pay the same at 10 enquiries or 100 |
| Cost behaviour at high volume | Rises linearly, and per-minute overage is where budgets break | Flat within the plan tier |
| Hidden cost | Time spent re-training on new scripts; message quality variance | Setup effort to connect forms, calendar and CRM |
| Typical published range | Varies widely by provider and plan — verify current pricing directly | Public tiers exist; confirm the current price before you buy |
We do not quote competitor pricing here because it changes and we cannot verify it at the time you read this. Ask each vendor for a written quote for your call volume.
What each one handles well
Answering service wins on
Complex, emotional calls where a human voice matters; callers who refuse to talk to a machine; matters requiring immediate judgement; clients who call back repeatedly.
AI intake wins on
Volume and speed — replying in the first minute, every time; after-hours and weekend coverage without shift cost; structured capture of case details; consistent qualification questions; booking without a phone tag loop.
Both fail at
Giving legal advice. Neither should. And neither replaces a lawyer calling the person back.
The real risk
An answering service that takes a message your team does not act on is worse than voicemail, because it creates false confidence.
How to choose
If most of your enquiries are phone calls from people in distress
Start with a service that answers the phone with a human, and add structured capture so nothing arrives as a scribbled note.
If most of your enquiries arrive through your website, often after hours
Start with AI intake. The enquiry is already text; a human answering service is an expensive way to handle a form submission.
If you are a small firm with unpredictable volume
AI intake is usually easier to justify: the cost is predictable and the coverage is total.
If you are a larger firm with a reception team
Neither replaces the team. Use AI intake for after-hours and overflow, and keep humans for the calls that need them.
Either way
Measure time to first response and qualified consultations. That is the only comparison that matters.
Five questions that separate real products from slideware
Ask these before you sign, and ask for the answers in writing.
- What exactly happens when the enquiry arrives at 2am on a Sunday?
- Can I see a real transcript or recording from a firm like mine?
- Where is the data stored, who can access it, and what happens when I cancel?
- How do you handle a caller who asks for legal advice?
- What is the total monthly cost at my actual volume, including overage?
What most firms actually end up with
The binary framing is a marketing device. In practice most firms that fix intake properly end up with a layered setup.
- An AI reply within the first minute, on every channel, at every hour.
- A human available during business hours for callers who ask for one — and a clear, immediate route to that human.
- Structured capture of case details before any human picks up the phone, so the callback starts informed.
- One system of record. Two systems means two places to look and one place somebody forgets to check.
